PURPOSE

To establish rules for advertising and selling on all campuses, including the posting of notices, and the display and distribution of literature 

SCOPE

Any person or company wanting to sell or advertise on campus

POLICY

  1. The College will limit the advertising and sale of products and services on all its campuses. This includes the posting of notices, and the display and distribution of literature and election notices.
  2. The College has given permission to the Students’ Association to lease or rent small areas to commercial vendors to generate revenues.
  3. In administering this policy, College administrators and the Students’ Association will consult the Standard Operating Procedures for the Posting and Distribution of Notices, Advertisements, Newspapers and Periodicals Manual.
  4. College administrators and the Students’ Association will ensure that vendors offer products, services and displays which do not violate any College regulation, guideline or are in conflict or competition with the College’s businesses or services.
  5. Commercial Vendors
    5.1  Commercial vendors are permitted to sell their products or services on campus only with the approval of an administrator in Ancillary Services, Marketing Office, Student Services, the Students’ Association, Conference Services  or other appropriate authority.
    5.2  In consultation with the appropriate Dean or Director, program chairs or administrators may invite a particular vendor(s) on campus for specific purposes related to their departmental mandate or in relation to a College event.
  6. Advertising Contracts
    6.1  Ancillary Services contracts with advertisers who want to display materials in areas such as encased sign boards, wall-mounted pamphlet racks, free-standing display units,  bicycle stands, and television/video terminals.
    6.2  External agencies interested in advertising in the student newspaper, in campus publications such as Alumnet, Glue, athletics calendars, the student handbook, or with the student radio station are to establish a service contract with the appropriate department.
    6.3  External agencies interested in sponsoring  College or alumni events, orientation kits, or other items  are to contact the Marketing Department.
  7. Newspapers
    7.1  Ancillary Services will contract with outside agencies to carry a limited number of newspapers/publications on College premises. These contracts stipulate several conditions including  the locations assigned to the particular publication.
  8. Posting of Notices
    8.1  Algonquin College has established a system of bulletin boards to keep students and employees informed of events or appropriate information.  All bulletin boards identify their intended audience.
    8.2  There are three categories of bulletin boards:
    a.   those managed by a College department,
    b.   those managed by the Students’ Association,
    c.   those of a “general interest” or “flea market” nature.  On the Woodroffe Campus, this category is managed by the Marketing Office.  On the Pembroke and Perth Campuses, this category is managed by the Deans’ Offices.
    8.3  The responsible department will review and approve all internal advertising materials for the bulletin Board. The notices will be stamped by the Marketing Office to indicate the advertising materials have received approval.  The responsible department  may  reject advertising pieces that conflict with College values.
    8.4  Ancillary Services will review and approve all external corporate and commercial advertising materials. The notices will be stamped by Ancillary Services to indicate the advertising materials have received approval.  Ancillary Services will reject advertising pieces that conflict with College values and/or compete with College services.
    8.5  All bulletin boards will be kept current, and will be maintained and monitored by the responsible department.
    8.6  Nothing will be posted on bulletin boards, walls, or other surfaces which is illegal or offensive in nature or which is in violation of any other College policy.
  9. Election Notices
    9.1  Any employee or student running for elected office (e.g. College’s Board of Governors,   Union, Administrative Staff Association or the Students’ Association) who wishes to post election advertising on College property will get permission from the Marketing Office or  from the Deans’ Offices on the Perth or Pembroke Campuses and be made aware of the Guidelines governing this activity.
  10. Non Compliance
    10.1  Staff or students who fail to observe this policy, such as distributing commercial literature in any manner, including leaving literature about the campuses, handing out literature, placing material in lockers, under residence doors or on car windshields will be given a warning and be required to remove all such materials from College properties.  Should they continue or fail to remove the materials, they will be asked to meet with the appropriate College administrator to review the incident and to apply appropriate sanctions.
    10.2  If an external individual or corporation fails to observe this policy, the Director, Ancillary Services will communicate with the advertising company reiterating the College policy.

Contact the Director, Ancillary Services Office if interested in displaying materials, advertising in the student newspaper or campus publications or sponsoring a College event.  The request will be forwarded to the  appropriate department.
