The Events Interface
  • In the Events Interface (see figure 17), you can view events, customize how you want to view your events, search for an event, and create an event by using the View:, Show:, Search For Event:, Add Event: tools.

Viewing Events
  • Click the Events Global Tab to view your events (see figure 18)

  • The Events Interface will appear (see figure 17). Note: By default events for only the currently selected day, week or month are displayed. Depending on which view you selected before you clicked on the Events Global Tab - i.e if you clicked on the Week Global Tab first, and then clicked on the Events Global Tab, your events for the week are displayed.

Customizing the Event View
  • You can choose to view your events for the day, the week and month by using the View: and Show: tools.
  • Use the drop-down menus beside the View: tool to select the date of events you wish to see (see figure 19)

  • Select the category of events that you want to display by using the Show: drop-down menu (see figure 20)

  • Select the type of events that you want to see by using the Type: drop-down menu (see figure 21)

  • Click the button to finalize your selection(s).
  • The screen will refresh and you will see the events you wanted to view.

Viewing Events in Day, Week, or Month View:
  • Click on the event title in the Calendar Grid (see figure 22).

  • A window containing the event's details launches (see figure 23).

  • View, edit, print or delete the event in this window.
  • When you are finished editing the event, click on the button to save your changes or click on the button to discard any changes and close the window.

Adding and Event
  • You can add events within the Day, Week, Month, Year, Events, Invitations, and Tasks Global Tabs.
  • Click on the New Event icon.
  • A New Event window will open (see figure 24).

  • In the New Event window, you can fill in the following sections by clicking on their corresponding links at the top:
    • Event Details: Fill in the title of the event, the calendar in which you want to add the event to (by default, it will be in your calendar), the date and time the event begins, the date and time the event ends.
    • Recurrence: Specify whether or not this event will recur
    • Invitees: Select the people you want to invite to the event
    • Reminders: Select whether or not you wish to send everyone a reminder
  • When you are finished, you can click on:
    • Save: to save the event and close the window
    • Save and Add Another: to save the event and add another event
    • Cancel: to discard the event and close the window

Quick Add Event
  • You can also use the Add Event panel in the Events Global Tab to quickly add an event (see figure 25)

  • Fill in the Event Title
  • Use the Date: drop-down menu to select the date of the event
  • Use the Time: drop-down menu to select the events's time
  • Click on the add event button.
  • The event will appear in the Events Grid

TIP: To edit a 'quick add' event, click on the event title or its 'Edit' button in the Events Grid.

Adding Events in Day, Week, or Month View
  • You can either click on the New Event Toolbar Option OR click on the + sign beside the corresponding time in the Calendar Grid (see figure 26).

  • The New Event Window launches
  • Fill in the fields accordingly
  • Save the event when you are finished

Responding to Events
  • When someone invites you to an event, you can Accept or Decline your attendance to the event or mark yourself as Tenative.
  • To respond to an event:
  • In the Day, Week, Month, Events, or Invitations Global Tabs, click on the event title you want to respond to (see figure27).

  • The event will open the Details window. (see figure 28)

  • Click on the Your Attendance Status link at the top (see figure 29) or scroll down to Your Attendance Status section.

  • Click the radio button beside Accept, Tenative, or Decline (see figure 30).

  • You can add a comment in the Comments: text box if you wish
  • Click the savebutton
  • The window closes and Calendar refreshes

Sometimes the organizer of the event will request an RSVP. In the Your Attendance Status section of the event, you might see Organizer has requested RSVP (see figure 31).

  • If you want to RSVP, click on the Organizer has requested RSVP link and a New Message composition window will launch. Type in a message and send it.

Deleting an Event in the Events Global Tab
  • In the Events Grid, Click the checkbox beside the event you wish to delete (see figure 32).

  • Click the delete buttonbutton.
  • The Events Interface refreshes

Deleting an Event in the Day, Week or Month Global Tabs
  • Click on the beside the event title in the calendar grid to permanently delete the event (see figure 33).

  • If you want to view details of the event before you delete is, you can click on the event's title in the calendar grid (see figure 33). The event's window will launch.
  • Click the delete buttonbutton at the bottom, left hand side to permanently delete the event. You will be prompted to delete the event permanently. Click on the OK button and the event's window will close and your calendar will refresh. The event has been permanently deleted.

Adding Events using the Check Availability Toolbar Option
  • You can also add an event in the Check AvailabliltyCheck Availability Toolbar Option - this would be the recommended choice if you are inviting other to this event because you are able to check the availability of all invitees, plus the invitee list automatically populates when you create the event.
  • Click on the Check AvailabilityCheck Availability Toolbar Option (see figure 34).

  • The Check Availability window appears (see figure 35).

  • Fill in the following information:
    • Start Date: the availability date you want to see (or the event date)
    • Start Time: the beginning time of availability you want to see and for how many hours and minutes you want to see someone's availability.
    • Invitee Name: type in the name(s) of the invitees whose availabilies you want to see (click on the "add from address" button)
  • Add the users you want to invite to the event by typing in their user name in the Invitee Name: field.
  • Click the add buttonbutton.
  • The Invitee List will populate.
  • Click on the Check Availability Buttonbutton to check their availability.
  • In the Free/Busy Grid, the Invitees will appear and you will be able to see their availability (see figure 36).

  • Select a desired time for your event and click on the Plus Sign in the Free/Busy Grid to create the event.
  • The New Events Window launches and with the Invitee's names automatically filled in.
  • Once you have created your event, click on the Save Buttonbutton to close the window or the Save and Add another buttonbutton to create another event.

Modifying Events in The Events Global Tab
  • In the Event Grid, click on the event's title or the Edit button under actions (see figure 37).

  • The event's window will launch.
  • Click on the Edit Button button at the bottom, left hand side of the Event window.
  • When you have finished modifying the event, click on the button to close the window.
  • The Event Interface will refresh automatically.

Modifying Events in the Dayt, Week, and Month Global Tabs
  • Click on the event's title in the calendar grid (see figure 38).

  • The event's detail window will launch.
  • Click on the Edit Button button to modify the event.
  • When you are finished, click on the Save Button button to close the window (you can also click on the Cancel Buttonbutton to discard changes and close the window).
  • The Event Interface refreshes automatically.

Search for Events
  • You can search for events in the Day, Week, Month, and Events Global Tabs.
  • Type in a word relating to the event you are searching for (i.e. if you are searching for an event within the word "meeting" in it) in the Search for Events: box (see figure 39).

  • Click the search button button.
  • The Events Interface appears with a Search Results Grid that lists all the events that match your search criteria (see figure 40).

  • Click on an event title or view, edit, or delete the event.
