Communications Suite - Using Outlook - Email Basics
Creating A New Message
  • Click on the New button on the Standard Toolbar (see figure 4).

  • A new message window will launch (see figure 5).

Note: If you clicked on the down-arrow button beside the New button on the standard toolbar (see figure 6), select Mail Message to launch a new message window.

  • In the new message window, type in the email address of the recipient (s) in either the To:, CC:, or BCC: fields (see figure 7)
  • Type in the subject of your email in the Subject field (see figure 7)
  • Type in your email content in the message box (see figure 7)

  • When you are finished, click the Send button on the Standard Toolbar (see figure 8)

  • The message window will close and the email will be sent

Checking for New Email Messages
  • Click the Send/Receive button in the Standard Toolbar (see figure 9)

  • Your new message will appear in the Active Folder (see figure 10)

Reading Messages

There are two ways to read your messages:

Reading Messages Using the Reading Pane

  • If you have you Reading Pane turned on, it will be located either on the right-hand side (see figure 11), or on the bottom, underneath the Active Folder window (see figure 12).

Note: For more information on how to customize the Reading Pane, please see the Customizing the Reading Pane section.

  • With your message visible in the Reading Pane, you are able to read the contents of the message.

Double-Clicking to Read Messages

  • If you have your Reading Pane turned off, you can double-click on a message in the Active Folder (see figure 13) to read the contents of that message.

Replying to Emails

With your message window open:

  • Click on the Reply button on the Standard Toolbar (see figure 14).

Tip: You can also reply to the sender, plus other recipients of the email by clicking on the "Reply to All" button

  • Type your reply message
  • Click on the Send button on the Standard Toolbar
  • The message window will close and your email will be sent

Forwarding Messages

With your message window open:

  • Click on the Forward button on the Standard Toolbar (see figure 15).

  • Type in the recipient(s) email address(es) in the To:, CC:, or BCC: fields
  • Type in any content you want to add in the message box
  • Click on the Send button on the Standard Toolbar when you are finished
  • The window will close and your message will be sent
