Communications Suite - Using Outlook - Managing Other Inboxes
Granting Permissions to Your Inbox

In order to access another person's inbox, you will need:

  • Permissions to that inbox
  • You will need to subscibe to that inbox

To grant someone permissions to access your Inbox

  • Right-click on your Inbox (see figure 29)

  • Select Properties from the shortcut menu
  • The Inbox Properties window will open (see figure 30)

  • Click on the Permissions tab (see figure 31)

  • In the User ID: field, type in the name of the person you want to give permissions to (see figure 32)
  • Click on the Add button (see figure 32)

  • Select what kind of permissions you want to give the user (see figure 33)

Tip: You can grant more than one person permissions to your Inbox and you can also grant different permissions per person by highlighting the person in the list and selecting their permissons.

  • Click on OK when you are finished
  • The Inbox Properties window will close
  • The user you granted permissions to now has to Subscribe to your Inbox

Subscribing to an Inbox you have permissions for

In your Outlook:

  • Right-click on Shared Folders in the Navigation Pane (see figure 34)
  • Select Properties from the shortcut menu (see figure 34)

  • The Shared Folders Properties window will open (see figure 35)

  • Click on the Subscribe tab (see figure 36)

  • Click on the Subscribe button (see figure 36)
  • The Add Shared Folders window will open (see figure 37)

  • Under the Show available shared folders whose userid is: heading, type in the user name of the Inbox you want to subscribe to (see figure 38)

  • Click the Query button (see figure 39)

  • The box beside the Query button will populate (see figure 40)

Note: The box will only populate if you have been granted permissions by that user. Please see Granting Permissions to your Inbox.

  • Highlight the user's Inbox and click on the Add button (see figure 41)

  • The Add Shared Folders window will close and you will see the user's Inbox in your Subscribe box (see figure 42)

  • Click on OK to close the Shared Folders Properties
  • In the Navigation Pane, collapse all the plus (+) signs under Shared Folders to access the Inbox you just subscribed to. (see figure 43)

  • You can now view and manage that Inbox (depending on the permissions you were given)
