How to access Algonquin Client’s Extension via IVR:    (What is IVR?)

  • Call Algonquin College main number at 613-727-4723 and wait for the IVR to answer the phone.
  • If you don’t already know the clients extension, press 1# to spell the last name of the client first, then the first name.
  • To spell the clients last name first, you will need to use the touch tones on your phone and press the key to which the letter is represented.
However, unlike texting on cell phones, you don’t press the same key several times to get the letter you want. On the contrary, you only need to press the key once.

When using keys to spell the last name, you will need to follow the image to the left.

For example, let’s say you want to call Umit Gunaydin. To spell out the last name and first you would press the following key sequence.

G=4, U=8, N=6, A=2, Y=9, D=3, I=4, N=6, U=8, M=6, I=4, T=8

Therefore, pressing 486293468648 will result in Umit Gunaydin being selected as a match. NOTE: The IVR may cut in before you finish pressing the entire sequence, if there is a valid match found. If multiple matches are found, you will be prompted to select which one you want. The IVR will state "For Umit Gunaydin press 1, etc..."

If no matches are found, the IVR will prompt you to re-enter the last name followed by the first name over again.

How to access Algonquin Client’s Extension via Public Phone Book:

Go to http://www.algonquincollege.com or http://myalgonquin.algonquincollege.com and click on the Phonebook or Phone Book link. NOTE: MyAlgonquin website requires a VPN connection to be displayed.

  You can now search for the client based on multiple criteria.

  •   Full Name
  •   Email Address
  •   Office Phone Number
  •   Fax Number
  •   Extension Number
  •   Voicemail Number
  •   Campus
  •   Room Number
  •   College Job Title
  •   Alternate Email Address (FirstName.LastName@algonquincollege.com)
  •   College Department

For example, if you’re search for Umit Gunaydin you can choose one of the following search criteria.

  • Full Name = Umit Gunaydin
    Note: You can use wild card here, example: Umit* or Gun*
  • For all other options, you will need to know more about the client. For example, if you know the client works at Information Technology Services, you can search for all clients in this department and find my name as part of the many matches. If you knew the clients email address is gunaydu@algonquincollege.com you can search for that in Email Address or Umit.Gunaydin@algonquincollege.com in the Alternate Email Address field. Etc...
  •  You can fill in multiple input boxes for a more specific search. However, all fields will have to be part of the clients profile for a match to be displayed. If a search portion doesn’t match, there will be no results displayed.

For Example:

Name = Umit*
Room = C335
Department = Information Technology Services

This will result in a match for Umit Gunaydin, as all the search options matched my profile.

How to access Algonquin Client’s Extension via Outlook Exchange:

There are a couple of ways to search for the extension number of a client at Algonquin via Outlook or OWA.

Using the Global Address List (GAL). Compose a new email message, and press the TO... button. This will open the GAL. You can also access the GAL by clicking on TOOLS then ADDRESS BOOK. Make sure the Global Address List option is selected in the Address Book drop down menu for both variations.

Perform a search for client’s name. Once the name is highlighted, right click and select Properties.

You can by-pass the GAL, by finding an email from the client, opening it, and right clicking on his name beside the FROM: heading, and selecting Outlook Properties. This will also bring up the GUI above.
