Organizing a media event

Media events can come in two forms: events which are designed specifically to announce something to the media (such as a press conference), or events which the media are invited to participate in (such as the President’s Breakfast).

If you are planning a media event, here are some things to consider:

  • Are there certain College executives, such as the President or Vice President, who you wish to have in attendance? It is recommended you reach out one month in advance to secure their participation. Additionally, including students wherever possible is highly recommended.
  • Are there select politicians you would like to have in attendance? It can take up to 10 weeks to book certain representatives. Public Relations can assist with these invites.
  • What is the visual element of your story? Newspaper and TV reporters need a strong visual element for their story – a photo opportunity, an action, or something which helps to tell the story. Bear this in mind!
  • If this is a College event: have you booked College assets, such as a podium, banner, or other branded items? Visit our Event Support Materials form to request these items.
  • Reporters may not be able to stay for your whole event due to other competing stories. You may wish to pick certain moments of importance to highlight to reporters, especially if your event is longer than two hours, so they can plan their day around your event and the others which they may be asked to cover.

Finally, you will want to send a media advisory to request that reporters attend.
