Steps to Apply

You’ve found a travel destination and confirmed that you are eligible for travel. You’ve also investigated any necessary visas, researched medical precautions and vaccines, and identified any security precautions you need to take, as well as any travel and medical insurance needed. Next step is to register your travel and fill out some forms. Here’s a checklist to get you started.

NOTE: You should start planning for your trip at least sixty (60) days in advance in order to allow the necessary time to investigate and secure requirements related to your destination such as visas, medical precautions and vaccinations, security-related information, and travel / medical insurance arrangements.


Steps to Register Your Travel

  1. Access the AC Abroad Community
  2. Fill out the Registration Form
  3. Submit Requirements including the Risk Assessment Form
  4. Complete the Online Pre-Departure Orientation
  5. Apply for the Guard.me Study Work Abroad Award (if applicable)
  6. Register for Out of Country Health Insurance
  7. Submit additional documents along with photos and a testimonial of your trip (awarded students only)

Note: Students participating in the Study and Work Abroad Program must undertake a College-sanctioned activity.

A College sanctioned activity includes any student-related experience undertaken outside of Canada in connection with academic work or any other officially organized College activity. Such activities may include, but are not limited to, exchange programs, research projects, internships, practicums, co-op placements, clinical placements, conferences, service-learning activities, volunteering, organized sport competitions or other extracurricular activities.

Step #1: Login to the AC Abroad Community

  1. Go to https://algonquincollege.my.site.com/myac360
  2. Enter your Algonquin College email (userID@algonquinlive.com email) and click Next
  3. Enter your College network password
  4. Click on Sign in

Step #2: Fill out the Registration Form

  1. Click on Applications or select Applications from the main menu

  3. Use Check box if you are travelling with an AC Group and select your group from the dropdown menu. Do not use the Check box if you are travelling individually.
  4. Enter the trip information if travelling individually. If travelling as a group, the trip information will be automatically populated.
  5. Complete the Emergency Contact Details
  6. Indicate if you would like to apply for theme Study and Work Abroad Award (if eligible) If you are not eligible, the award application will not be available.
  7. Click Submit Application

Step #3: Submit Requirements/Documents

  1. To upload documents, click on the appropriate requirement on the checklist, Click Upload here and you will be directed to a popup window. Choose file and Upload file then click Submit file.
  2. You do not have to submit all requirements at once; you are able to save your inputs and return to complete the other components later on.

Risk Assessment Form
Download the form from the link provided in the checklist, complete, sign and submit it to your Dean or Director for approval. Upload it to your registration once approved.
If you are travelling as part of the group, the form is provided by the faculty or staff leading the group.

Proof of Acceptance
Provide proof of acceptance or a confirmed international experience contract from your host institution or organization.

Release of Liability, Waiver of Claims and Indemnity Agreement and Travel Code of Conduct
Download both forms from the links provided, complete, sign and upload both forms.

Register as a Canadian Abroad or Register Travel with Embassy or High Commission
If you are a Canadian citizen, visit the link provided in the requirement description to register your travel and upload the email confirmation into your registration.

If you are not a Canadian citizen, register with your Embassy or High Commission in your destination country. Use the I acknowledge box to indicate you have registered.

Monitor Risk Ratings (Travel Advice and Advisories Review)
Visit the link provided and select your destination. Review the Global Affairs Canada Travel Advice and Advisories Report for your destination and use the I acknowledge box to indicate you have reviewed the information.

Travel Itinerary
Upload your tickets and a copy of your travel plan (activities you will do during your trip including visits to other regions or countries).

Step #4: Complete the Online Pre-Departure Orientation

The Pre-departure Orientation is available in Brightspace and is mandatory for all students travelling outside Canada for College-related international activities. In order to access its content in Brightspace, you will first need to be enrolled in it. Please allow 3-5 business days after you have submitted your registration for the enrolment to be completed.

The program includes five modules of 10-12 minutes in length each. Topics covered include cross-cultural awareness and culture shock, health and safety abroad, travel tips and more. There is a quiz at the end of each module. Once you have successfully completed the program, you will receive a Certificate of Completion. Please download and save the certificate, as you will need to upload it to your registration as proof that you completed the training.

Step #5: Apply for the Guard.me Study Work Aboard Award (if applicable)

If you have indicated that you would like to apply for the Guard.me Study Work Abroad Award, the Student Award Application requirement is added to your checklist.

  1. Upload a copy of your answers to the three questions indicated in the requirement description.
  2. Download the AC Group or Program Coordinator’s Recommendation Form from the link provided. Sign the form and submit it to your Program Coordinator for approval. Upload the signed copy.
  3. Provide proof of acceptance or confirmed international experience from your host institution or organization.

Step #6: Register for Out of Country Health Insurance

All students travelling abroad for college-sanctioned international activities must register for out of country health insurance.

Once all the requirements listed above are approved, the Register for Out of Country Health Insurance requirement is added to your checklist. You must follow these steps:

  1. Visit the link provided and register for the Guard.me international health insurance (paid for by Algonquin College). You will receive a confirmation email from guard.me with your Policy #
  2. Log into AC Abroad Community
  3. Enter the Insurance Policy # in the blank box provided in the requirement
  4. Use Check box to acknowledge that you have registered for health insurance coverage with Guard.me

Step #7: Submit Additional Documents along with Photos or a Testimonial of your Trip (Awarded Students Only)

Applicants who receive the Guard.me Study Work Abroad Award will be required to submit additional documents. The documents will be sent via email, and they need to be sent back to ac-overseas@algonquincollege.com

Pre-travel Requirements

  1. Complete Marketing Release Form
  2. Complete and sign the Bursary Award Responsibilities form
  3. Copies of Flight details/Travel itinerary details

Post-travel Requirements

  1. Provide proof of travel (airline boarding passes) within 2 weeks of returning to Canada. (Keep the boarding passes and send a scanned copy to ac-overseas@algonquincollege.com)
  2. Provide a brief summary of the activity and/or photographs for publication within two weeks of return to Canada.
