Algonquin Skills Policies

Approvals to Travel:

Faculty/Staff: Please go through the normal request to Travel through Workday (expenses → create spend authorization) four weeks before the event.

Students: There is no official request to travel process for students at this time. The Skills Coordinator will submit a list to the Registrar’s Office for awareness purposes only.

Accommodation:

  • Hotel accommodation is only for students who are participating in Skills (not partners or spouses)
    • Family & partners are welcome to attend the event, but can’t stay at the hotel with the student.
    • Students can choose to find their own off-site accommodation if they want to stay with a partner, and Algonquin College will reimburse the student $25 per night for a maximum of 4 nights (Sunday – Tuesday nights).
    • To claim this, students will need to submit a request via invoice after the event. (see below How to Submit for Reimbursement)
  • Room assignments are done based on same-gender and then competition area (based on an individual’s self-identified gender preference). Accommodations to this can be made for those who need it – they just need to let the Skills Coordinator know at least one week before the competition.
  • For competitions held on Monday, hotel accommodations are for the evening before (Sunday) and Monday evening after the competition day. In cases of potential medal-placement, accommodation for the evening of Tuesday is provided in order for that team to be at the closing ceremonies.
  • For competitions held on Tuesday, hotel accommodations are for the evening before (Monday) and Tuesday evening after the competition day.

Equipment:

  • Coaches are responsible for coordinating the transportation of their equipment with their students.
  • There will be a half-ton pick-up truck leaving ACCE Friday afternoon which will be able to transport toolboxes, and smaller items if needed. Please contact Shaun Barr for more information.

Transportation:

  • Note: there is no bus available this year as a cost-saving measure.
  • Car Rentals:
    • It is expected that each coach will be responsible for assisting their students in getting to the competition, in a rental car as per policy AA36, section 5.2.
    • Cars can be reserved through the Algonquin Purchasing Department’s Enterprise link.
    • Carpooling is encouraged; In situations where there is a gender imbalance in a vehicle, carpooling is recommended. Please contact the Skills Team Coordinator to discuss.
  • Using a personal vehicle:
    • While not preferred, students can use a personal vehicle as long as the insurance and license of the driver/vehicle are in good standing.
    • Faculty/Staff are requested to rent a vehicle for travel to Toronto as per Algonquin College HR policy.

Expected Behaviour:

  • Algonquin Skills competitors and coaches are all adults and therefore it is expected that they make adult choices.
  • Please conduct yourself as a professional at a professional event.
  • Alcohol and drug consumption, as well as other behaviours, are expected to be done responsibly and without incident.

How to Submit for Reimbursement

  • Hard-copy receipts for meals and gas are required. Expenses will not be reimbursed without receipts.
  • Receipts must be detailed – interact payment receipts, unfortunately, are not detailed enough for this process.

The process:

Submit an Invoice (template here) and receipts (hard copy or a photo of them) to the Skills Coordinator within 10 days of returning from Skills Ontario and a cheque will be mailed to the address you provide.

  • Here’s what covered:
    • Meals that aren’t already covered.
      • For example, any meals supplied by Skills Ontario, the group dinner and the hotel are all considered covered meals.
    • The maximum amount covered is as follows: Breakfast: max $12, Lunch: max $15, Dinner: max $33
    • Alcohol is not covered.
    • For those who are not able to take the bus provided, gas will be provided within reason.
