The audio/visual event support service can help you with the technological needs of a conference or special event. An event leader will work to understand your event needs, plan logistics, and coordinate technical resources supplied by ITS or help you use a third-party event partner. We can assist you with planning the logistics and coordinating all the technical aspects including:

Event Support Hours

Standard event support hours are 7:00 AM to 8:00PM. Events that take place outside of regular working hours require 5 business days notice.

In order to ensure availability of equipment, facilities, and event staffing, clients must follow the event policies and deadlines outlined on this page.

Description of Types of Events

At Algonquin College, we cater to all types of events. Here are some types of events we can accommodate.

  • Meetings: Small gatherings of people in one location, often in a boardroom
  • Lecture/Meeting Recording: Educational or departmental events featuring one or more speaker; small scale recording, taking place in classrooms or meeting rooms.
  • Symposiums or Seminars: Educational events featuring one or more speaker; mainly lecture and discussion format, often taking place in a large lecture hall or auditorium
  • Workshops: Smaller events usually involving working sessions or information sessions; often part of a larger event such as a conference and usually takes place in multiple smaller rooms, like classrooms
  • Conferences: A large event that can involve multiple rooms and multiple days and often includes smaller events such as workshops
  • Receptions: Social events of various sizes, usually involving bar and food service; typically standing events
  • Banquets: Catered events with a sit-down meal, usually involving speeches or presentations.
  • Ceremonies: Traditionally involves row seating and a stage where VIP guests are recognized for an achievement; can also be a wedding
  • Launch: This is usually for a short duration and involves the use of an open space for a public presentation, possibly involving media or VIP attendees

How to Request Support for Events

Equipment and staff are available on a first come, first serve basis. We will always make every effort to support all events, but we may not have staff or equipment to support last-minute requests. In those cases, we will assist you in finding a solution. The person making the service request is responsible for reserving the space for the event. We can assist you with identifying spaces for your event, but cannot make reservations on your behalf.

  1. Place your request as soon as possible and at least 10 business days (2 weeks) before your event. This will allow for allocation of equipment and staff. We understand things happen at the last minute, but your advanced notice allows us to fairly allocate people and equipment.
  2. Complete the Audio/Visual Support for Events Request Form
  3. The request will be reviewed by Algonquin College ITS Events Team and a response will be provided within 2 business days. This response may include follow-up questions about the event.
  4. An approved decision about support of the event will be made by Algonquin College ITS Event Team after all details have been reviewed.
  5. For special requests, Algonquin ITS Events Team may require a walk-through of the event space prior to the event.
