Job Description

Valley Refrigeration Ltd has an immediate opening for a full-time Operations Coordinator to provide the essential administrative and operational support to ensure smooth daily business functions for a busy HVAC contractor. The best person for this role is someone who enjoys variety in their job. Working as part of a team, you will be providing crucial support through a variety of responsibilities. If you have a keen eye for detail and enjoy working in a busy environment, then this is the job for you!

Responsibilities include but are not limited to:
> Answering a multi-phone system at a busy HVAC office efficiently and politely
> Dispatching service calls, prioritizing the service required
> Ensure all appointments are booked through the computerized dispatch system
> Schedule routine maintenance appointments and all sales lead appointments
> Maintaining numerous reports (sales, maintenance, refrigeration log etc)
> Co-ordinate and communicate with clients and technicians in a timely manner
> Carry out administrative duties such as filing, typing, copying, printing, scanning etc.
> Processing Debit/Visa/MasterCard payments
> Some accounts receivable collection
> Issue purchase orders, receive parts, material and equipment, tag and schedule appropriately
> Source part numbers, prices and availability from suppliers
> Process warranty returns
> Assist with maintaining all training certificate and trade license files (electronically)
> Vehicle spot checks
> Support managers and co-workers through a variety of tasks to ensure the smooth operation of the business
> Contribute to team effort by accomplishing related results as needed
Applicants must have a minimum of 5 years’ proven experience in an administrative position including the following skills:

Strong communication skills both verbal and written
Polite and professional phone étiquette
Proficiency in Microsoft Office & Microsoft Excel & Outlook
Basic Office Administration Procedures
Attention to Detail/Accuracy
Able to multitask, flexibility to handle unplanned tasks as they arise
Work well individually as well as on a team
Be resourceful
Be able to anticipate needs
