OV Law is looking for an experienced, organized, and proactive Legal Clerk to join our growing Pembroke practice.
Our firm provides approachable, practical legal services in real estate, wills and estates, corporate law, and family law. We are looking for someone who can confidently manage files, communicate professionally with clients, and help keep matters moving efficiently from opening through completion.
The Role
The successful candidate will support one or more of the firm’s practice areas according to their experience. Responsibilities may include:
Opening, organizing, maintaining, and closing legal files.
Managing deadlines, appointments, follow-ups, undertakings, and document requirements.
Preparing and reviewing correspondence, legal documents, reporting letters, accounts, and closing materials.
Communicating with clients, lawyers, financial institutions, government offices, courts, and other parties.
Conducting client intake and collecting the information and documentation required to advance files.
Maintaining accurate electronic and physical records while protecting confidential information.
Assisting with billing, trust-related documentation, file closing, and record retention.
Identifying missing information, approaching deadlines, and potential delays.
Developing and maintaining precedents, checklists, and efficient file-management procedures.
Depending on the candidate’s background, work may include:
Real estate: Purchases, sales, refinances, title searches, requisitions, closing documents, and reporting.
Wills and estates: Wills, powers of attorney, probate applications, estate administration, and related correspondence.
Corporate: Incorporations, annual resolutions, minute books, corporate records, and transaction documents.
Family law: Client intake, financial disclosure, agreements, divorces, court forms, and file preparation.
Experience in every practice area is not required.
What We Are Looking For
Three or more years of relevant legal-clerk or legal-assistant experience.
Strong experience in at least one of the firm’s practice areas; experience across multiple areas is an asset.
Law Clerk diploma or an equivalent combination of education and practical experience.
Excellent organization, drafting, proofreading, and file-management abilities.
Sound judgment and discretion when handling confidential and sensitive matters.
Ability to manage competing priorities and work independently.
Professional, patient, and reassuring communication with clients.
Strong attention to detail and a willingness to take ownership of files and follow-ups.
Proficiency with Microsoft 365 and the ability to learn legal practice-management, document-production, and filing systems.
A cooperative approach and willingness to assist wherever needed in a growing firm.
