Employer Terms of Service
Purpose
The purpose of these Terms of Service is to establish a professional, ethical, and supportive environment for students while guiding employers through the hiring process facilitated by the Algonquin College Co-op and Career Centre (CCC). These terms are intended to:
- Support the recruitment of Algonquin College students and alumni for co-op, part-time, and full-time career-related positions.
- Promote fair, equitable, and meaningful employment opportunities.
- Ensure appropriate supervision, safe working conditions, and intentional learning outcomes.
- Align with Algonquin College’s ethical recruitment practices and relevant legislation.
Terms & Conditions of Use
By registering and using the HireAC platform, employers agree to the following conditions:
- All information submitted through HireAC is accurate, current, and complete.
- You are a registered employer authorized to recruit on behalf of your organization.
- You will comply with all applicable federal and provincial legislation, including but not limited to:
- Employment Standards Act (ESA)
- Ontario Human Rights Code (OHRC)
- Occupational Health and Safety Act (OHSA)
- You will provide a safe, inclusive, and legally compliant work environment for all employees and student hires.
- You will provide appropriate insurance coverage (e.g., WSIB or third-party liability insurance) for the duration of a student’s employment.
- Algonquin College reserves the right to modify these Terms of Service and may suspend or revoke employer access at its discretion.
Job Posting Requirements
All job postings submitted to HireAC must include:
- Full organization name, physical mailing address, worksite location, and contact number.
- Contact details of the employer representative, including full name, phone number, and email.
- A clear and complete job description, including:
- Job title and role type (co-op, part-time, full-time, contract)
- Key responsibilities and required qualifications/skills
- Compensation details, the expected hours of work, and any applicable benefits.
All co-op positions must be:
- Paid, full-time, with employer-provided coverage (WSIB or third-party liability insurance).
- Supervised, with clear training, onboarding, and performance feedback mechanisms.
Unacceptable Job Postings
The College will not accept job postings that:
- Contravene any applicable employment legislation.
- Are deemed unsafe, inappropriate, or exploitative by the College.
- Are unpaid, 100% commission-based, or require monetary investment (e.g., certification or licensing fees, product purchases, franchise buy-ins, or business investments).
- Are affiliated with pyramid schemes or multi-level marketing (MLM) organizations.
- Involve the recruitment of sub-agents or distributors.
- Require students to work as independent contractors or gig workers.
- Jobs offering credit in place of pay.
- Positions offering unpaid or reduced pay during training.
- Door-to-door sales roles.
- Positions located in private homes (e.g., childcare, elder care, tutoring, landscaping/construction labour).
Co-op Recruitment Process
Employers recruiting co-op students agree to:
- Adhere to the HireAC interview and offer process, including submission of offers through the platform only.
- Provide students with a minimum of 24 hours’ notice for interview invitations or cancellations.
- Respect Algonquin College’s Rank and Offer Guidelines, including a minimum 24-hour response window for students to accept or decline offers.
- Avoid making verbal or written offers outside of HireAC.
During the Co-op Work Term
Employers agree to:
- Honour the agreed-upon start and end dates, wage commitments, and work schedule.
- Direct and supervise the co-op student as a contributing member of the team.
- Provide regular feedback and participate in mid-term and end-of-term evaluations.
- Communicate with the College’s Industry Engagement Specialist (IES) if any performance, discipline, or workplace concerns arise.
- Accommodate a site visit (virtual or In-person), if scheduled by the College.
Co-op Student Termination Process
In the event that a co-op student’s work term is being terminated, we kindly ask employers to follow these steps to ensure appropriate communication and support:
- Prior Discussion (when possible):
Employers are encouraged to meet with the student prior to termination to discuss concerns and offer an opportunity for improvement, where appropriate. Ideally, with documentation of the meeting date, and recommendations for performance improvement.
- Notification to the Co-op and Career Centre (CCC):
Please notify the College’s Co-op and Career Centre as soon as a termination is being considered, when possible. This ensures that both the employer and the student can be supported, and the next steps can be managed promptly.
- Written Documentation:
A brief written summary outlining the reason(s) for the termination is appreciated. This supports transparency and helps guide the student’s learning and development. Documentation will be handled sensitively.
- Final Debrief (if feasible):
A closing conversation with the student, supported by the Co-op Student Advisor if needed, can help ensure clarity and closure for all parties involved.
Accountability & Suspension of Services
Algonquin College reserves the right to suspend or terminate employer access to CCC services and the HireAC platform if:
- Substantiated complaints are received regarding recruitment practices or student experience.
- Job postings or communications that are found to be misleading, inaccurate, or unethical.
- Roles offered do not align with the purpose of the Co-op and Career Centre or violate these Terms of Service.
- Employer behaviour or actions breach Algonquin College’s Core Values: Caring, Learning, Integrity, and Respect.

While the College facilitates connections between employers and students/alumni, it does not guarantee job placement or performance. The College is not liable for any loss or damage resulting from the use of the HireAC platform or associated services.
