GeneSIS Creation and Approval Process for New Programs and Courses

New and Modified Programs

All new and modified programs must be entered in GeneSIS to facilitate program delivery and publication. Once a program has received Credentials Validation Service (CVS) approval (for Ontario College Credentials) or Deans and Directors Council (DDC) approval (for College Certificates), the program of study is considered final. Departments may then complete the Program Creation/Update Form (PUF) to prepare for program entry and activation in GeneSIS. The Curriculum Administrator provides support in completing the PUF and forwards the PUF to the Registrar’s Office for activation.

After the PUF is submitted to the RO, please connect with Cristy Montgomery in Academic Operations and Planning to submit the Program Activity/Enrolment Projections. Note: Activity/Enrollment Projections can only be entered in the Enrollment Management System (EMS) once the program code is created in GeneSIS; however, projections should be finalized and forwarded to Academic Operations and Planning in advance of program creation in GeneSIS so that they can be entered in the EMS quickly once the program code is created.

Academic Operations and Planning will approve the projections, enter them in the EMS, and forward them to the Registrar’s Office (RO) to be entered in GeneSIS.

Following the entry of projections in GeneSIS, the RO will post the new program on the ontariocolleges.ca website, and notify the department when this step is complete.

The Curriculum Administrator will review and approve all new programs and program modifications in GeneSIS before initiating the publication process. NOTE: New programs and program modifications for Ontario College Credentials can only be advertised on the Algonquin College and Ontario Colleges websites following MTCU funding approval. For all credentials (including Algonquin College Certificates), the Curriculum Administrator initiates publication for advertising purposes only once the program is reviewed and activated in GeneSIS.

New Courses

When new courses are added to a program of study in GeneSIS as part of the Annual Curriculum Review (ACR), the courses are approved and activated through the regular ACR process. As the Curriculum Administrator reviews and approves program changes, changes are forwarded to the Registrar’s Office (RO) for activation (this includes the approval and activation of new courses).

When new stand-alone courses (courses that do not belong to a program of study) are created in GeneSIS as part of Continuing Education (CE) activity, they must be submitted through GeneSIS for approval and activation by the Curriculum Administrator, outside of the regular ACR process. For all new and revised stand-alone CE courses, The Curriculum Administrator reviews the course description, assigns an appropriate funding category as per MTCU enrolment guidelines, determines if the GST is applicable, and ensures that the proper grading system is entered.
