Admissions 101: Summary of Changes (Part 2)


The implementation of the new Student Information System (SIS), Thesis SM, will bring significant changes to the way processes work. For now, our focus is on Admissions, which will have an impact on both learners and employees. We have compiled a summary of the biggest Admissions changes to set you up for success!

Admissions covers a wide range of processes, so make sure to check out the first part to learn about the other changes that are coming. This second and final part focuses on some key components to the Admissions process, as well as common features that some learners might use during their applicant journey.

Admissions Program

In Thesis SM, the three types of confirmation dates (soft, hard, and active) will be stored in a period structure, and each admissions cycle will have its own period. Admissions Periods and Academic Periods will also be separate.

This is what will be changing:

• Admissions soft, hard, and active confirmation (offer) dates will be stored in a period structure, and each admissions cycle will have its own period. Admissions Periods will also be separated from Academic Periods.
• Admissions Programs will be created for each Academic Program. The two are connected but hold separate information.
• Applications will apply to an Admissions Program Offering Item (APOI).
• Admissions-related configuration and program information will be separate from the Academic Program information.

Admissions dates will still be stored in the SIS, and successful applicants will still be accepted in their chosen Academic Program.

Department Portfolio

With the implementation of the new SIS, the overall Department Portfolio will be much easier, both for employees and prospective learners. The new process includes less back-and-forth communication, meaning less emails and less manual work overall. With so much time saved, prospective learners can be helped much faster.

This is what will be changing:

• Communications with the Academic Department will be more streamlined for applicants.
• Applicants will submit all documents via the Thesis Student Portal.
• For employees, student documents will be available in the SIS.
• Portfolios will still be evaluated by the Academic Department.

TCOBS Integration

As part of the Admissions process, applicants sometimes need to book a test through the Test Centre so that they can complete their application. The new TCOBS integration will not fundamentally change the booking process, but applicants will have better visibility of their requirements, and they will also be able to see their test results much quicker than before. It’s a big advantage for them without much change for employees!

This is what will be changing:

• The amount of time it takes for a test result to appear on an applicant’s file will be reduced.
• Test results will be assessed automatically in Thesis SM.

Tests will still be booked using a link, just in the Thesis Student Portal. As for employees, test results will still be entered into TCOBS.

Applicant Evaluation (Ranking)

The Applicant Evaluation process will be done exclusively in Thesis SM and will be an overall improvement for the Admissions team. Why? The new system will do a lot of the manual work behind the scenes. Essentially, users can input criteria when ranking applicants, so the results will be quick and accurate. This process will also improve tracking for audit purposes.

This is what will be changing:

• The process will be done exclusively in Thesis SM.
• Since everything will be tracked in one place, documentation will be improved and easier to maintain.

It is important to note that highly competitive programs will still be ranked, and learners will see no changes on their end.
