Sending a media advisory

Media releases offer a brief rundown of an upcoming event. This one page invites are used to entice reporters to come to your event.

If you are looking to announce something which has already happened, we recommend sending a media release instead.

Here are the steps for students and employees to have a media advisory sent by Algonquin College:

  • Check public information resources, such as Good Morning Algonquin, to check if the timing of your event conflicts with other College events.
  • Contact Public Relations at least two weeks in advance of your planned send date to let us know about your event. The PR team aims to send no more than two media releases or advisories per day – this advance notice helps ensure we are not overcommunicating. As a standard of care, we aim to send advisories to our press contacts one week in advance of the event.
  • Identify any key media outlets you would like to see your story in, or any goals you have for your event.
  • Send the 5Ws about your event to the PR team – who are the spokespeople (make sure they know they are spokespeople!), where and when is the event, what is the event about, and why is it important? Visual elements are also helpful!
  • The PR team will send the advisory and, time permitting, will conduct follow-up calls with local media outlets to help get your story out. If you need a representative from the team onsite at your event, please indicate this and, if available, a team member will be present.
